Dear Student,

It is important to know the essential information about your student pass. The following are information on the rules and regulations of the Singapore Immigration & Checkpoints Authority (ICA) for international students studying in Singapore. . You will need to know how to extend/renew your student pass and what to do if you lose your student pass . Most importantly, you must fulfil the attendance policy as stipulated by ICA. 1. Singapore Immigration & Checkpoints Authority (ICA) Rules & Regulation

Students are to bear in mind that they must:

  • Attend classes regularly;
  • Have more than 90% attendance every month;
  • Attend the course in our school as reflected in the student pass;
  • Know when the student pass expires;
  • Surrender the student pass for cancellation within 7 days of cessation or termination of studies. 

School will inform ICA if:

  • The student has not attended classes for continuous period of 7 days or more without any valid reasons;
  • The student has not attended class regularly; where the percentage of attendance is 90% or lower in any month of the course without valid reason
    Note: Consequences of Violation of ICA Regulation :- The student’s pass may be cancelled or would not be renewed if the attendance is 90% or lower in any month.
  • The student’s studies in the School has been terminated
     
 

2. School attendance policy

The student’s attendance will be monitored throughout the duration of the Programme.

Students have to be in campus for every school day (Monday to Friday, except Public Holiday) for at least 3 hours. On days when there are no lessons / lesson with less than 3 hours duration, you will be required to sign in for self study.

If your attendance is 90%, or lower you will
 

  • receive the Attendance Warning Letter;
  • be barred from taking examination;
  • have your Student’s Pass cancelled.

Approval of Leave of Absence

  1. Absences due to Medical Grounds and Bereavement are the only two accepted valid reasons.

    - Fill up the “Application for Leave” form (Download here)
    - Supporting documents to justify your absence from class (MCs, Death Cert etc)

    Note:
    Should you be absent for a class due to illness, please submit the medical certificate (MC) to the School by the next work day.

    Only MCs issued by registered medical practitioners under the Singapore Medical Council will be accepted.
     
  2. All other reasons of absence from class are subjected to case by case approval of the Manager.

    E.g Going back to home country with urgent matters during the study term.

    Please submit the “Application for Leave” form (Download here), with supporting documents (written request and air ticket), at least one week in advance or before you purchase your air ticket.

    Please provide proof of air ticket, passport (for the exit and entry immigration stamps) and supporting documents upon return.
     
  3. Notification to ICA on your Absence from class
    - School will inform ICA in writing of any leave application between 1 – 3 months.
    - Your Student pass will be cancelled if you are away from your School for more than 3 months. You will have to re-apply for student pass, subject to the approval of ICA.


Punctuality

  • All students are required to be punctual for all classes and you have to ensure your attendance is signed for all classes.
  • Students who are late for more than 15 minutes after the class start time will not be able to sign their attendance and will be marked as ‘Absent’ for the class.
 

3. Renewal of student pass - Eligibility

  • Students who are continuing with the same course with our school. ( Repeat module)
  • Students who intend to take another course with our school after the completion of the existing one

How to renew?

  • Proceed to Admissions Office with your existing student pass. It is the student’s responsibility to report to School Admissions Office at least 2 weeks before the date of expiry on the student card to request for a renewal.
  • Once approved, Admissions Office will provide you with the necessary documents to collect your student pass at ICA.
     

Things to note about your passport

  • Passport must have at least 6 months validity.
  • You need to renew your passport at the Embassy before the date of expiry
     
 

4. Important documents required for completing student pass formalities

  • IPA Letter
  • E-appointment slip
  • ICA Medical Examination report
  • X-Ray Report
  • Blood Test Report

Photo Requirement:

  • Student pass card from Singapore requires applicants to follow strict photo requirements. The photos must be very sharp and clear. Any photos that the authorities find to be substandard will be rejected.
  • The background screen of the photograph must be white. However, should the applicant’s hair be white, the background colour must be light grey.
     
 

5. Cancellation of student pass

  • When must I cancel my student pass?
    Foreign students must surrender their student pass for cancellation within 7 days from the date of cessation or termination of their study.

     
  • What are the procedures for cancellation of the student pass?
    You must inform your Programme Executive about your course withdrawal. Following which, you must return your student pass at the School Admissions Office and request the admission staff to cancel your student pass.
     
 

6. Loss of student pass

  • What should do if I lose my student pass? 
    Foreign students who have lost their student pass are required to apply for a replacement within 7 days from the date of loss.
     
  • How can I apply for a replacement ?
    1. Make a police report
    2. Submit the police report to the School Admissions office
    3. The School will prepare the necessary document s for you to bring to ICA

7. Update of address & contact number

International students are required to update the School on the change of local address and contact number (mobile/ house number) within 14 days. This is according to Immigration Regulations 19(3)(b).
